Your website should send leads to sales. Instead, it has become the bottleneck. New landing pages wait for a developer. Leads from the site arrive in Zoho CRM half-filled, twice, or not at all. And somewhere on the team, someone copies form notification emails into Zoho by hand.
Zoho is good at being your system of record. Leads, Deals, workflows, Zoho Campaigns and Zoho Books all belong there. It doesn't need to be your website builder too. Webflow runs the website. Zoho runs the pipeline. A clean, documented connection sits in between.
That's what we engineer. Overflow builds your site in Webflow, or takes over the one you have, and connects it to Zoho CRM and the other Zoho apps you rely on. Forms, attribution and follow-up keep working. Coming from Zoho Sites, WordPress or HubSpot CMS? We migrate the site and protect your SEO equity and existing integrations along the way.
- Publish and launch campaigns without waiting for developers.
- Send every lead into Zoho CRM complete, attributed and without duplicates.
- Keep the Zoho workflows your sales team already uses.
Plan your Zoho connection. Let's talk.
Why B2B teams split the stack: Webflow for the website, Zoho for the pipeline
Many B2B sites started with a sensible idea: one platform for everything. Over time, that platform starts to set the limits. Templates get rigid. Every layout change needs a developer. Marketing works around the CMS instead of with it.
- The old way: one platform does the website, the CRM and the automation. The CMS decides what marketing can ship, and every template change becomes a dev ticket.
- The Overflow way: each tool does the job it's best at. Webflow runs the website. Zoho runs the pipeline. A mapped connection sits in between.
Webflow's job: the website
Webflow gives you visual building, a modular Webflow CMS, reusable Webflow components and a design system. Your team builds new pages and campaign variants from approved blocks, on its own, without breaking the brand.
Zoho's job: the pipeline
Leads, Contacts, Deals, assignment rules, workflows and reporting stay in Zoho CRM. Nothing changes for sales. They see the same records, the same fields and the same notifications.
Who this is for
B2B marketing leads and founders already on Zoho CRM or Zoho One who want a faster website, but don't want to rebuild a CRM setup that works. The trigger is usually a rebrand, a funding round, new service lines or markets, or organic traffic that has gone flat.
An honest check first
We ask one question before anything else: is the problem the CRM or the publishing layer? If sales struggles with Zoho itself, a new website won't fix that, and we'll tell you. If you're on another CRM, see our Webflow HubSpot integration, Webflow Salesforce integration or Webflow Pipedrive integration, or browse all integrations.
How can you connect Webflow to Zoho CRM?
There are five practical ways to connect Webflow to Zoho CRM: a Zoho CRM webform embedded in Webflow, a Zoho Forms embed, the Zoho Flow app from the Webflow Apps directory, Zapier, or a custom connection with webhooks and the Zoho CRM API. Most real projects combine two of them.
- Zoho CRM webform: designed in Zoho CRM. Creates new records, no middleware needed. Best for getting new leads into Zoho CRM fast.
- Zoho Forms: designed in Zoho Forms. Can update existing CRM records (upsert). Runs on a Zoho Forms account. Best for Zoho-built forms with UTM tracking.
- Zoho Flow app: form designed in Webflow. Can create or update records in Zoho CRM. Needs Zoho Flow (free edition available). Best for native Webflow design plus Zoho apps beyond CRM.
- Zapier: form designed in Webflow. Can create or update records. Needs a Zapier plan. Best if you already run Zaps.
- Webhooks and API: form designed in Webflow. Full control over create, update and two-way data. No middleware subscription, but development time. Best for custom logic or Zoho data flowing back into Webflow CMS.
Zoho CRM webforms
You build the form inside Zoho CRM. Zoho lets you create webforms for Leads, Contacts, Cases and custom modules, then you place the code on your Webflow page with a Code Embed element.
One detail matters for tracking. According to Zoho's webform documentation, the visitor tracking code is included automatically with the Source code and Embed code formats. With the iFrame format you have to add it manually, and reCAPTCHA domain validation has to be disabled.
The trade-off: it's the fastest path and needs no middleware, but the styling lives in Zoho rather than in your Webflow design system. Embedding it is Webflow custom code, which Webflow only allows on a paid Site plan or a paid Workspace.
Zoho Forms
Zoho Forms embeds on Webflow and pushes entries into Zoho CRM modules, with field mapping. Its upsert option checks for an existing record, for example by email, and updates it instead of creating a duplicate. Zoho notes that only CRM fields set to "do not allow duplicate values" show up as upsert options.
For attribution, Zoho Forms has UTM tracking: you define the parameters and paste Zoho's tracking code in your site footer. You can add gclid as a custom parameter for Google Ads. Zoho's advanced tracking code also picks up gclid and auto-tracks visits from search engines. Zoho itself reminds you to give a privacy notice and get visitor consent before you enable it.
Zoho Flow app (native Webflow forms)
This route keeps your native Webflow forms and your design. You install the Zoho Flow app from the Webflow Apps directory and authorize it with OAuth, so there are no manual API tokens or webhook URLs.
The connector offers 4 Webflow triggers (form submitted, order created, collection item created, collection item updated) and 8 actions, including creating and updating staged and live CMS items. Zoho Flow connects to more than 1,000 apps.
That makes it the route for the wider Zoho ecosystem: send a newsletter signup to Zoho Campaigns, or fill Webflow CMS collections from a Zoho Sheet. Your Webflow forms stay native.
Cost note: Zoho Flow's free edition allows up to 5 flows and 100 tasks per month, and every executed action counts as a task. Paid plans are listed on Zoho Flow pricing.
Zapier
Zapier's Webflow and Zoho CRM integration uses Webflow triggers such as Form Submission and Order Created, and Zoho CRM actions including Create or Update Record. It's quick to set up and familiar if your team already runs Zaps. The trade-off is one more layer in the middle, with task-based pricing. More on that route in our Webflow Zapier integration.
Webhooks and the Zoho CRM API
For full control, Webflow webhooks or the Webflow Data API send data to a Zoho Flow webhook or straight to the Zoho CRM API. Zoho CRM's upsert endpoint checks duplicate check fields, such as Email for Leads. It updates a matching record and inserts a new one otherwise. Input must use field API names, with a maximum of 100 records per call.
This costs development time and upkeep, so we only use it when the data flow needs it: custom logic before a lead reaches the CRM, or Zoho data flowing back into Webflow CMS. See how we approach Webflow integrations in general.
What you get when Overflow connects Webflow and Zoho
You don't get "an app installed". You get a connection that's mapped, tested and documented, so your team knows exactly where every lead goes.
Map every form before we build
We list every form on the site, the event it represents (demo request, download, newsletter, event signup), the Zoho module and fields it should fill, and who owns the follow-up. It's the same method we use on every Webflow integration: map the trigger, fields, permissions, destination, failure handling and owner before anything gets installed.
Match fields on Zoho API names, not labels
Zoho CRM's API expects field API names, such as Last_Name and Email, not the labels people see on screen. A wrong match doesn't always throw an error. The field simply arrives empty.
Zoho Flow adds a known quirk. Zoho's own documentation explains that all Webflow form fields arrive inside one object labeled 'data'. Each field has to be mapped as ${trigger.data.<field name>}. We run a sample submission first to read the real field labels from the payload, then map them one by one.
Route multiple forms without crossing wires
Every Webflow form submission comes through the same form_submission event. Without routing, all forms land in the same flow. We give every form a unique name and add a Decision box in Zoho Flow per form name, so a newsletter signup never lands in sales as a hot lead.
Prevent duplicates in Zoho CRM
Returning visitors should update their record, not create a second one. We use upsert in Zoho Forms, Create or Update Record in Zapier, or the upsert API, depending on the route. The unique identifier, usually email, is agreed with sales upfront.
Plan for what happens when something fails
Most setups only plan the happy path. Webflow's integration guide notes that a webhook deactivates after 3 failed delivery attempts, 10 minutes apart, and sends an email notification. We decide upfront who receives that email, where the backup record lives (native Webflow form submissions) and who checks it.
See which campaigns create pipeline
We capture UTM parameters and GCLID into Zoho CRM fields, so source and campaign sit on every lead. Tracking scripts only load where your consent setup allows. Attribution is never perfect, and we won't promise a specific accuracy. We make sure the data that is collected lands in the right place.
Hand it over to marketing
You get documentation of every flow, field map and owner, plus live training and video tutorials. Ownership, not dependency: you keep the site, the flows and the docs.
Which Webflow Zoho connection method fits your setup?
Start from your situation, not from the tool:
- You only need new leads in Zoho CRM, fast: a Zoho CRM webform.
- You want Zoho-built forms with UTM tracking and upsert: Zoho Forms.
- You want native Webflow design, plus Zoho apps beyond CRM: the Zoho Flow app.
- You already run your automations in Zapier: Zapier.
- You need custom logic or Zoho data flowing into Webflow CMS: webhooks and the API.
How we choose
Four questions decide it: what data must go where, which records must be updated rather than created, who maintains the connection after launch, and what it costs every month. You get our recommendation in the plan, before anything is built.
Moving to Webflow without losing rankings or leads
Leaving Zoho Sites, WordPress or HubSpot CMS? The move to Webflow is where rankings and lead flows usually get lost. We protect both.
- Redirects: every old URL mapped to its new home with 301 redirects in Webflow.
- Metadata: titles, descriptions and structured content carried over.
- Integrations: existing forms and Zoho connections rebuilt and tested before launch, not after.
Read how our Webflow migration works, or see the details of a WordPress to Webflow migration. For reference: we moved Nedcargo from WordPress to Webflow in 4 weeks.
How we deliver your Webflow Zoho integration
- Audit. We review your forms, Zoho modules and how leads flow today.
- Map. A field and routing map, agreed with sales.
- Build. Forms, flows and tracking in Webflow and Zoho.
- Test. Real submissions, including failure cases and duplicates.
- Launch and monitor. We watch the first live leads come in.
- Hand over. Documentation and training, so your team owns it.
When the integration is part of a full site build, it runs inside Playbook 01, our B2B marketing website playbook, with a typical timeline of six to eight weeks. For a standalone integration, you get cost and timing after the audit.
Proof from B2B teams we've built for
We don't have a published Zoho case to show you yet. What we can show is how we build and ship for B2B teams:
- Aumatics: 300%+ marketing ROI and 8+ new high-ticket clients.
- BlinkLab: 7 weeks from strategy to launch.
- Nedcargo: WordPress to Webflow migration in 4 weeks.
- Performance: Lighthouse scores of 95 to 98+ on our builds.
What clients mention most is the way we work: clear processes, cost and timings upfront, and, in one client's words, "no funnies, no surprises".
Who does the work
Overflow is a small senior team, on purpose. Jort Steinebach is a Certified Webflow Developer with 40+ Webflow sites built. Niels Voshol leads strategy, SEO and AI Search, with 40+ B2B projects behind him. The people you talk to are the people who map your fields and build your flows. Nothing gets handed to a junior.
What does a Webflow Zoho integration cost?
We don't publish a price list, because two Zoho setups are rarely alike. After the audit you get a quote with cost and timing upfront.
What drives the scope
- The number of forms and what each one should do
- The Zoho modules involved (Leads, Contacts, Deals, custom modules, Campaigns)
- The method: embed, Zoho Flow, Zapier or API
- Attribution needs, such as UTM and GCLID capture
- Whether a migration to Webflow is included
Third-party costs you own
- A paid Webflow Site plan, needed for custom code and webhooks
- Your Zoho CRM edition
- A Zoho Flow or Zapier plan, if that route is used (Zoho Flow's free edition covers 5 flows and 100 tasks a month)
Webflow Zoho integration FAQ
Does Webflow have a native Zoho integration?
Yes. The Zoho Flow app in the Webflow Apps directory has 4 triggers and 8 actions. There's no direct Zoho CRM app in the directory, so Zoho Flow, Zapier, a webform embed or the API connects the two.
Can Webflow forms send leads directly to Zoho CRM?
Yes. Native Webflow forms connect through Zoho Flow or Zapier. Or you embed a Zoho CRM webform or a Zoho Form, which submits straight to Zoho.
Why do my Webflow form fields arrive empty in Zoho?
Usually because Zoho Flow puts all fields inside the 'data' object, or because fields were mapped on labels instead of API names. Map each field as ${trigger.data.<field name>} and test with a sample submission.
Is the Webflow Zoho sync two-way?
Partly. Zoho Flow can create and update Webflow CMS items and products, so Zoho data can flow into Webflow. Anything beyond that needs the API.
Do I need a paid Webflow plan?
Yes, for webhooks and for embedding Zoho code, which counts as custom code. Check current plan names on Webflow's pricing page.
Can I track UTMs and Google Ads clicks into Zoho CRM?
Yes. Use Zoho Forms UTM tracking with gclid as a parameter, or hidden fields filled on the Webflow side, mapped to custom Zoho CRM fields. Either way, you need visitor consent.
Will we lose rankings if we move the site to Webflow?
Not if redirects, metadata and content structure are protected. We won't promise a specific ranking, but we engineer the move so your SEO equity carries over. See our Webflow SEO services.
Ready to keep Zoho and give marketing a faster website?
Tell us which forms you run and which Zoho apps your team uses. We map the connection, pick the right route for each form and give you cost and timing upfront. Zoho keeps the pipeline. Your marketing team gets a website it can ship on its own.
